CAPITAL CITY CAMERA CLUB CONSTITUTION

Article I - NAME
The name of this organization shall be the Capital City Camera Club.
Article II - PURPOSE
The aim of this organization is to foster the advancement of photographic knowledge and techniques amongst the club members.
Article III - MEMBERSHIP
Membership is open to any individual regardless of amateur or professional standing who is interested in actively advancing his/her knowledge of photographic techniques and actively participating in club activities.
Article IV - EXECUTIVE COMMITTEE
The management of this organization shall be directed by an Executive Committee composed of the President, the immediate past president, the Vice President, the Secretary, and the Treasurer. Three members of the Executive Committee shall constitute a quorum.
Article V - COMMITTEES
The President shall appoint the chairperson of all standing committees named in the By-Laws and special committees, when needed.
Article VI - VACANCIES
Section 1-
If the office of President shall be vacated for any reason, the Vice President shall assume the duties of the President for the remainder of the vacated term.
Section 2-
Should any office, other than that of the President, become vacant or if the Vice President cannot assume the duties of the President should that office be vacated, a special election shall be held.
Article VII - AMENDMENTS
Amendments to this Constitution may be made at any time by a two-thirds affirmative vote of the members present, provided that those members constitute a valid quorum of eligible voting members. A quorum shall consist of 51 or more percent of the paid up membership.
Article VIII - MEETINGS
Meetings will be conducted on a monthly basis at a time and place determined by the existing membership. Business shall be governed by Robert’s Rules of Order unless temporarily suspended for a particular item of business by majority vote of a quorum in attendance.
Article IX - BY-LAWS
By-laws for the transaction of club business will be adopted, and such By-laws may be approved, revoked, or amended at any time by a majority vote of the members present requiring a quorum.

BY-LAWS
Article I - FINANCE
The fiscal year of the club shall be from January 1 through December 31.
Article II - ELECTIONS
Elections of club officers shall be held every two years or as specifically designated to fill an office vacancy. The President shall appoint a Nominating Committee consisting of a Chairperson and up to six but not less than two members to prepare a slate of officers for general club membership consideration. The Chairperson of the Nominating Committee will obtain agreement of the nominees that they will serve if elected. The Chairperson will present the slate at the November meeting with elections to follow. Additional nominations will be accepted from the floor at this time. Installation of officers will be held in December.
Article III - MEMBERSHIP
Section 1 - ELIGIBILITY:
Any individual may apply for active membership in this organization. Appropriate dues must accompany the membership application.
Section 2 - DUES:
Annual dues shall be set forth by the Executive Committee. Dues are payable on an annual basis. New members shall pay one year's dues and their membership shall run for one year from the date they joined. Any members whose dues are more than thirty days in arrears shall not be eligible for club privileges. A person whose membership has lapsed shall have the right to re-apply at any time.
Section 3: PRIVILEGES:
Members shall have the following privileges: voting on all club matters brought to the general membership by the president or executive committee, club competitions; use of video library; club field trips; door prizes; etc.
Section 4: COMMITTEES:
All members are encouraged to participate in one or more standing committees.
Article IV - DUTIES OF OFFICERS
Section 1 - The President
The President shall preside at all club meetings and Executive Committee meetings; he/she shall appoint committees as required by the By-Laws and special committees as may be required; act as the club spokesperson; and supervise all club activities. He/She shall act as an ex-officio member of all committees.
Section 2 - The Vice President
The Vice President shall assume the duties of the President in his/her absence; maintain a separate inventory of all club owned equipment and supplies including the film library; and conduct other activities as directed by the President.
Section 3 - The Secretary
The Secretary shall keep records of the minutes of all regular meetings and of the Executive Committee meetings; send a copy of the minutes to the editor for inclusion in the club newsletter; notify members of special meetings and events; accept membership applications and maintain list of all current members; prepare all club correspondence; maintain the club constitution and bylaws; act as chairperson of the Membership Committee (unless another member is appointed); and any other duties as directed by the President or the Executive Committee.
Section 4 - The Treasurer
The Treasurer shall maintain records and custody of club funds and dues; discharge club expenses (approval of the Executive Committee is required to spend over $100 on any one item) and maintain records thereof; prepare quarterly reports of club finances to be presented for approval of the membership in April, July and September; issue a year-end financial report for approval of the membership each January; act as chairperson of the Door Prize Committee (unless another member is appointed) and other duties as directed by the President and the Executive Committee.
Article V - STANDING COMMITTEES
1. Membership
* * Greet new members and visitors.
* * Provide visitors with newsletter and application for membership.
* * Provide name tags for all members and guests
* * Promote membership recruitment.
2. Program
* * Preparing and making arrangements for programs for all meetings
* * Programs to alternate with competitions on a monthly basis
* * Present list of proposed programs to the membership in February
* * Provide list of programs to the newsletter editor and webmaster
3. Publicity
* * Administer all aspects of Club Publicity.
* * Contact local media concerning club meetings and activities.
* * Work with membership committee on membership activities.
* * Club Newsletter
* * Club Website
4. Film Library
* * Chaired by the Club Vice President or designee
* * Maintain contents of club film library
* * Maintain records of which members have checked out any club videos
* * Contact any member whose video is past due
5. Door Prize
* * Chaired by the Club Treasurer or designee
* * Conduct Door Prize awards.
* * Purchase door prizes.
6. Field Trip and Special Events
Schedule and make arrangements for all field trips and special events including annual Christmas party in December.
7. Competitions
* * Conduct club competitions.
* * Advise Program Committee concerning club competitions.
* * Advise President and Secretary of competition winners.
* * Develop and maintain rules of competition.
* * Notify newsletter editor and webmaster of competition subjects and winners.
8. Hospitality
* * Conducts club hospitality break during meetings
* * Sign up members to bring refreshments other than coffee
* * Purchase coffee and other necessary supplies.
* * Plan for club special events such as Christmas party.
